Ministry Team Structure

So I have had a bit of a writers block as of late, so I thought I might put up the structure I am using this year (at least the first part of this year) for our primary (elementary) leadership team.

We have 8 services over a weekend and they can be kinda blocked in groups of two.

Sat Night
(5pm and 7pm)

Sun Morn
(8am and 9:30am)

Sun Day
(11:30am and 1:15pm)

Sun Night
(5pm and 7pm)

(No we don’t go to all of them, it would kill us we have OSO’s — Optional Services Off rostered each weekend)

So the first tier of leadership is 4 brilliant team leaders… my key team and all ultra committed volunteers. They oversee a two service block

Then we have service leaders underneath them, one for each service… 8 volunteers who focus on one service and team.

Finally we have 2IC’s (second in charge), leaders on a journey to become service leaders. Each of the service leader/2IC’s in encouraged to develop and release leaders into ministry as well!

A total of 20 champion volunteers overseeing the primary ministry… (K-Year 4) (Kindergarten is first year of school in Aus.)

This doesn’t include pre-teen (year 5-6) who have a similar structure.

Once a month we will have a Key Team United – with all our key people from Early childhood up, run by myself and my wife Beci, then once a month a primary key team run by the four oversights, and an early childhood key team with the four from EC running! (Voltage – pre teen ministry – will run with primary)

(BTW, none of this meeting has happened yet… we are starting next week…)

    I was just searching the net for kids ministry blogs to see what other Kids Pastors are up to, and I found your blog. The one about your leadership structure at Hillsong Kids was fantastic and very helpful. I am KP at a church in Hornsby and I am conscious that we are getting to a size now where I need to start to put some of those structures in place so that I don’t limit where GOd can take our kids ministry. Thanks for sharing – and thanks heaps for the amazing songs that you and Beci write .. we love to do Hillsong Kids songs at our church and our kids love them.     Incredible and an amazing ministry my friend! I promote you often and personally invite you on May 12 – 14, 2008 to Group Publishing headquarters for a Large Church Children’s Ministry “Conversation” if you’re up for it…you fly I’ll pay your hotel, meals, etc…fly into Denver International the day before!!!!

    Excellent Piece … thank you for sharing. We meet once a month with the entire children’s ministry staff. We call it our Leadership Vision Night. It’s a night that we can come together and discuss the vision and discuss events happening in the near future and also a time of training.

    We are also launching teams this next month and we are pretty excited about that.

    At this point we are planning four teams.

    KidZone Worship Team – Responsible for the Praise and Worship portion of service every Saturday. This would comprise of youth. My vision for the KidZone Worship Team would be very similar to your Hillsong Kids Praise & Worship Team as they dance, sing, and worship.

    KidZone Teaching Team – Responsible for bringing forth the Word on their scheduled day. Whether that is a Saturday or a Wednesday. They would be the team that would write the curriculum and make sure that those helping with that service has the information and is prepared to go forth.

    KidZone Creative Team – Responsible for coming up with creative decorations, stage items, service concepts, anything that relates to creativity in the ministry. If we need an idea for a “Fun Day” like Winter No_Wimpics. Etc.

    KidZone Constructive Team – Responsible for creating props for the ministry. Everything from backdrops to room decor. This would include carpenters, painters, artists, etc.

    It’s a season of Excellence and it’s showing in the structure that is being set up across the globe. I am excited to see whats ahead.

    Dave, thanks for this information. I’m always interested to see how ministries are structured… there’s definitely more than one way to skin a cat. However, I like your 2IC process of building the next line of leaders. One question thought in regard to this structure. Do these “champions” serve every week at these assigned services? To the volunteers under them also serve every week?

    Every leader serves at the same service each week.

    It’s a culture that extends to the entire volunteer base of our church.

    Unless you are in our Worship and Creative Arts team, you may be rostered to play or sing in different services on a weekend.
